Reports

Reports are computed from the records Majali already keeps: rent, leases, stays, maintenance, enquiries and deals. Nothing is typed in for a report, and nothing is stored except the files you export.

Which reports exist

Reports are grouped by line of business, in the sidebar under Reports and as cards on the Reports page.

LineReportWhat it shows
CRMLeadsA year of enquiries: received, answered, the median time to a first answer, the share answered by their deadline and the share that turned into deals. Leads by month and source, by source, by service, the time to a first answer by month, and each source’s deals and conversion.
CRMPipelineThe open deals today: their value and weighted value (value times probability), those expected to close in 30 days and the idle ones; each pipeline’s stages as a funnel, the expected closes of the next six months, and the idle deals.
CRMWon and lostA year of closed deals: won, lost, the win rate, the value and commission won, the average days to win; by month, by lost reason and by person.
Holiday homeOccupancyA year of the holiday homes as a grid, a row per property and a column per month, each cell its occupancy; with nights booked, the average nightly rate and the revenue per available night.
Lease rentalOccupancyThe same grid for the properties for rent: the days under a lease over the days in each month.
Lease rentalRunningThe rent roll on a day: every running lease with its property, renter, term, annual rent, next instalment and the amount overdue.
Lease rentalOverdueInstalments past their date on a day, by lease and by age: 1 to 30, 31 to 60, 61 to 90 and over 90 days.
Lease rentalExpiriesLeases ending in a period by the notice given, and the renewal rate of those that ended.
MaintenanceTurnaroundA year of jobs: done by month, the median days to done, the open jobs by age and each category’s figures.
MaintenanceCostsThe charges of a period, each one listed, with the totals by property, category, contractor and who pays.
FinanceGeneral ledgerEvery receipt, charge and refund of a period. It sits under Finance (see Finance).

For Occupancy, a property counts as available from the day it was published, less owner and maintenance blocks. Only paid, checked-in and checked-out stays count as booked; requests and holds do not.

Who can open them

A report shows company-wide figures, so it opens only to someone whose roles see every record it reads:

  • the lease rental reports need “see every lease”;
  • Occupancy needs bookings or leases seen in full;
  • Turnaround and Costs need “see every job”;
  • Leads needs “see every enquiry”; Pipeline and Won and lost need “see every deal”.

The Reports menu lists only the reports you may open. A report of a feature your company does not have is not there. The old address of Leads and pipelines opens Leads.

Reading a year, a day or a period

The line at the top of each report holds what it reads:

  • Occupancy, Turnaround, Leads, Won and lost read a calendar year, this one unless you choose another under Year; the years go back to your first records.
  • Running and Overdue read one day (Running on, Overdue on), today unless you choose another.
  • Expiries and Costs read a period, From and To.
  • Pipeline reads today.

Periods are in your company’s own days and time zone. Amounts are totalled per currency and never added across currencies; the figures above a report show your company’s first currency. Figures read what each record kept when it was paid or recorded (see “How money is dated” in Finance).

Filters

Costs has a Filters button that opens the filters: a property, a category, a contractor, who pays, and the period; Apply Filters applies them and Clear all filters removes them. Leads filters by source, service and who handles them, Won and lost by pipeline and who handles the deals, and Pipeline chooses a pipeline on its line. The export follows the filters.

Reading a report

  • Figures open nothing by themselves: use the screens under Finance, Property management, Maintenance and CRM to act on what a report shows. In Costs and Pipeline a job’s or a deal’s reference opens its quick view.
  • A report reads live records. Record a receipt, a charge or a status change and the report shows it on its next load.

Exports

The ⋮ button on a report’s top line holds Export Excel and Export CSV. For a report read by year, the menu has its own From and To, so the file can cover any period. Export Excel makes a workbook: a first sheet naming the report and its period, then a sheet for each table, with a coloured header row that stays in view, filters, widths that fit, and dates and amounts as such. Export CSV makes the plain file. Either is made at once and downloads while you stay on the report; a copy stays in Downloads, in the account menu, for 24 hours. It needs the permission to export reports, and your permissions and your company’s features are checked again when the file is made. You may make at most ten exports an hour. Cells that a spreadsheet would read as a formula are made safe, and every export is audited.
